You and other members of your organisation should be able to quickly access information on every contractor and sub-contractor that comes to your site.
However, a standardised information collection form won’t be enough, you will need to collect varied information based on the trade each individual practices. In addition, You should check your records at least once a year and update them if they are no longer accurate.
Ensure that processes are in place for choosing and approving contractors and make sure staff at each level of the organisation are aware of supplier practices. If staff appoint unverified contracts then your time has been wasted.
Without policies and rules, expensive project errors will occur and can lead to repetitional damage. Therefore, determine and set out what is expected at the start of your supplier relationship and make sure contractors and sub contractors stick to these rules.
Be sure to communicate all of your requirements at the start of a job and get them down in writing. New contracts should also be issued when the requirements of a job change considerably.
Following laying down the rules and agreeing on a contract, you need to take account of your responsibilities. Be sure to brief thoroughly and update regularly as you are responsible for all restraints and controls that could hinder contractors and sub contractors.
